New incoming email feature

OK, I know I'm going to sound stupid, but I'm really not getting the Incoming Email feature in 5.7.

I've done everything as the user guide says but I'm not sure what next. I have Consultants, each with their own email accounts, how do I link them? I've created the IncomingEmailAccount BO but what now? I created a IncomingEmailAccount for one of the Consultants, no idea where to go from there.

I'm not nearly as au fait with this system as I'd like so any assistance is greatly appreciated.

Well you connect to the two or more email accounts and use the incoming email notification to do what ever you want with the incoming email. You can save it in a BO and have an attribute which splits it between the consultants.

That's my issue. What do I link where? What do I connect the CONNECT TO EMAIL PROCESS to? How does it determine that there are multiple email accounts and pick the correct one?

Mmm. OK.

Set up a received email BO with appropriate attributes but also add consultant name.
Attach the import email accounts BO.
Add any extra attributes to it you might need.
Set up a query for 2 above. Add say two processes. One which starts the email connection and one which stops it. This stop start can be manual or scheduled whatever you like. The start and stop processes has as input an instance of the import email account BO so it knows which one to start or stop. If you want them all to start I guess just do each one in turn.
Then on the incoming notification set up your rules to process the incoming email and create the received email instances. Set the consultant attribute at this time based on the notification email account.

Sorry, man. I am still so lost.

I have the following set up:

• the IncomingEmail notification
• ReceivedEmail BO (to which I've added the Consultant attribute, linked to Consultant *owned by Consultant)
• IncomingEmailAccount BO (to which I've added the Consultant attribute, linked to Consultant *owned by Consultant) (I see it came with a Consultant attribute of type SystemUSer)

So now do I create the IncomingEmailAccount and link to Consultant then run the process? The process being CONNECT TO EMAIL IncomingEmailAccount?

Hey Rod, sorry I was being a total fool earlier, think I got it sorted. Only thing I am still puzzling over is how to set it so that when a Consultant logs in, it connects to their email account. If we have to rely on them to choose the correct account each time, things are going to go wrong.

Not sure how you are going to do it. But if you want the consultant to synch their mail when they log on then just give them a button somewhere. The button will just kick off a process that connects to their email account.

FIND emailaccounts where emailaccounts.name=loggedinsystemuser.name
connect email emailaccounts

Something along those lines.

You could also automate it via a process when they log on do the connection and when they log off do a disconnect.

So, it's almost working. I'm running the following process on startup:

FIND IncomingEmailAccount WHERE IncomingEmailAccount.AccountName=LoggedInSystemUser.LoginName
CONNECT TO EMAIL IncomingEmailAccount

But it still gives me the process input to choose an account and I'm looking to bypass that.

Could I add it to a Consultant so that the Consultant owns the IncomingEmailAccount then maybe try

FIND Consultant WHERE Consultant=LoggedInConsultant
CONNECT TO EMAIL Consultant.IncomingEmailAccount

Something like that? My brain has just shut down

Sounds like you have set the BO as a process input which you don't need to do as you are finding it within the process itself. Is that the case?

I haven't looked at this new feature at all yet (GREAT that it exists 🙂 ) but I was just wondering if this also enables multiple email accounts for outgoing email so that it´s possible to both receive and send email from multiple accounts? Anyone know?, thought about it?

I actually wondered the same thing this morning...

I wonder if it wouldn't be as simple as just creating an OutgoingMailAccount and connecting to that...

You don't really need a multiple outgoing account.
You can send as usual and use : From : <<LoggedInSystemUser.EmailAddress>>

by multiple outgoing email feature i mean to say, each user can setup its email account/server setting to send and receive emails.

like in my application (which is in development) every user has its own working environment and each user is different entity to another.

so, is it possible or having some limitation.

Imagine this :

one outgoing account for all as for now
several incoming account, user based
---> the user sends an email using the only available account BUT on the outgoing email notification "From Address" the system picks-up his incoming account email address.
If the recipient replies to that email it goes to this incoming address.
So we have both way communication.

what you said seems good if we are talking about one organization.

Imagine this

--multiple outgoing email for multiple clients to set there own business organization mail server.

--Company A---------mail.exampleone.com

--Company B---------mail.exampletwo.com

My application is design to provide SaaS service for my multiple clients so want to setup there system settings individually. By this management of application is easy as I have to upadate/fixabug/enhance once and it reflect to all my clients.

You still can find a way : create a BO handling the incoming account information and a process creating an entry on a query where the incoming email corresponds to the correct company.
