E-mail / system settings per user?

Hi all,
I was wondering regarding the e-mail options of Aware IM. Is it correct that if i configure an application with e-mail capabilities, i can have every single user use their own e-mail settings for their individual e-mail capabilities. To clarify, each Aware IM user can add their own e.g. POP3 e-mail settings and then Aware IM will use these settings for the application e-mails concerning that individual user?

Also, another question. If this is the case, is it not possible to configure Aware IM in a similar way so that each user can use several e-mail accounts i.e. each user has multiple e-mail / system settings options?

As far I know multi-account email option is not possible....in the AwareIM settings you can only specify one email address....

It may not be pretty but let's say you want to have three email addresses per person. #1 is default and #2 and #3 are whatever you call them. #1 uses the actual EmailAddress attribute, the others are text attributes. Then create #4 as a text attribute that is used internally.

You could make a process that has the user select which address to use, in this example, #3), then:

#4 = EmailAddress
EmailAddress = #3 (use the selected value)
Do your mail thing...
EmailAddress=#4 (replace the default email address)

It's a bit more complicated than this, but it's an idea if this is a must-have capability.

Interesting workaround. I am not entirely familiar with how the setup for e-mail works yet but it definitely sounds interesting. I will play with this some.

I was wondering, in a similar way is it not possible to create 3 form sections of the standard Aware IM user form that would hold system settings for 3 e-mail accounts (POP3 settings, e-mail username/password etc) and then configure a process that would use the different settings in these form settings when e.g. collecting e-mail. The process could e.g. be manually executed from the application so the user press a button saying "collect e-mail" and Aware IM would run the process, collect the e-mails from all 3 accounts and then "populate" a e-mail inbox section of the application?

Yes. Each form could populate #1, #3, or #3 from above. Each form could then call a different process, each process configured to apply a different email address. In this case, you may have to use an HTML button to call the process and not show the standard form buttons, but it seems like a workable approach.

Do you have any plans for improvement in this area? It would be really good if a business space could handle incoming email for many users (different e-mail addresses) in one business space without having to use the 'workarounds' discussed here.

Just for info the workaround described above are for outgoing emails, thre is no fix yet for multi-accounts incoming emails.
If you want to system to pick-up the Sender's emails you can add this to your Notifications.From field :

From: <<LoggedInSystemUser.Email>>

Multiple incoming e-mail accounts, it is not possible for 1 user to have multiple incoming e-mail accounts BUT it is possible for each individual user to have a single incoming e-mail account meaning in an application there can be many different incoming e-mail accounts with different settings/e-mail servers (1 per user e.g. 1 user uses gmail and x@gmail.com and another user uses hotmail and y@hotmail.com) or?

Unless I am mistaken (and I really wish I was!) It is NOT possible to have more than 1 incoming e-mail account per business space. NOT possible to have 1 per user. NOT possible to have incoming e-mail from different providers such as gmail, hotmail etc.

Just 1 incoming e-mail account (email address) for a whole business space.

Support, are there plans for this to change at any point soon? Incoming e-mail for each user is something that my users really would like to see.

Handling incoming e-mails is like a company announcing an e-mail address to contact them. For example, a Microsoft could announce that if anyone wants to contact us send e-mails to contact@microsoft.com

It wouldn't say that if Joe Bloe wants to contact us send e-mail to joe_bloe@microsoft.com and if Mary Smith wants to contact us send it to mary_smith@microsoft.com

I can think of many scenarios when multiple e-mail accounts would make sense. Here are a few of the thoughts i have had regarding this feature.

I am planning on using Aware IM in multiple ways. I intend to create applications which i host for my customers and i also intend to create applications where i distribute the application through runtime builds. When it comes to the hosting i have 2 current examples i am looking into. One is a business application where a business can sign up for an account and handle various business tasks through the application. In this example it would be useful for each business to have their own e-mail account connected to their business account in the application to handle incoming and outgoing e-mail connected to their business. Another example, a coaching application where a coach can sign up for an account and handle their coaching business in the application. Same goes here, is would be useful for each coach to be able to use their own e-mail account for handling communication with clients.
When it comes to the runtime builder scenario and more specifically if i create 1 application for 1 business, then i can see your point but even so. Having the option of multiple e-mail accounts would be useful in this scenario as well. For example to handle communication of different departments etc. and even on a per user basis would be useful because then each user could use the application for direct contact/"integration" with the external world. Each user would have his own e-mail section with incoming and outgoing e-mail etc. and e-mails could be connected to application functions related to that specific user etc.

These are just my thoughts and i´m a fairly new user so there might be things i don´t know yet on how to handle these things optimally in an application and also if it´s actually a good idea to have multiple e-mail accounts (thinking of system resources/load etc.) but i can see many advantages multiple e-mail accounts VS single e-mail account per BS.

I found this demo that shown how to use ext js to handle email and a addon like this with the options to integrate emails with Aware IM fucntions, BO etc. would be great.

An account per user when thinking in terms of a customer user of the application doesn't make much sense. But an account per user when thinking in terms of staff members of the system does make sense.

If a Microsoft employee communicates with a client via email then how do they receive a reply from that client within the system if all other Microsoft employees share the same e-mail address (contact@microsoft.com)? How do you direct that incoming e-mail reply to be displayed to the relevant staff member when they log into the system?

I need to try and achieve exactly this within my application. I have many customers that each have one or more projects set against them. Each project is managed by a staff member, so any one customer may be communicating with 3 or 4 different staff members at the same time. If a staff member creates an email within the system and sends it to a client then a copy of that outgoing mail is referenced against that staff members outgoing mail and is also referenced against that particular customer. Great. When the customer replies to that email and then the system collects that reply from the mail server I can only then reference the incoming mail against the customer based on the email 'From Address'. How do I get that incoming email to reference the staff member too, so that the staff member can see the reply?

In short I need each staff member to have their own 'inbox' within the application.

You can imagine a system where a "catch-all" rule is in place with your email host :

1- all emails of "@mycompany.com" goes to "awareapp@mycompany.com"
2- email sent to paul@mycompany.com goes to "awareapp@mycompany.com"
3- Put in place a Rule where AwareIM copies email sent to Paul to his inbox

It's just a work-around but a multi-account option would be better..

Thanks for the suggestion but having a catch all in place isn't a workable solution for me. My users don't just want to be able to access email in AwareIM but also from their mobile phone and maybe even a desktop mail client such as outlook too. I find most people nowadays (myself included) want email access regardless of time of day or physical location. Unless I'm mistaken if a 'catch all' is set it will not be possible for users to receive email elsewhere?
